Bepensa, a leading Mexican business group, faced a major challenge: transitioning one of its offices to a hybrid work model. To ensure an efficient and trouble-free shift, they sought a solution to manage desk reservations and facilitate a smooth transition. The Challenge: Hybrid Transformation
When the COVID-19 pandemic struck, Bepensa needed to transition to a hybrid work model, requiring a smaller office space. To manage this shift and the sharing of limited workspaces among employees, Bepensa’s HR and IT departments implemented Parkalot’s desk booking system.
The Solution: Customised Parkalot Setup
To make sure Bepensa’s Parkalot account was customised to meet its needs in the best way possible, it was set up with the following key features:
- Departmental Groups: Employees were organised into user groups based on their respective departments.
- Dedicated Desks: Each department received a specific allocation of bookable desks.
- Shared Resource Pool: A pool of desks was available for reservation by any employee, regardless of departmental affiliation, promoting flexibility.

The implementation of Parkalot has enabled Bepensa’s 300 employees to efficiently share 84 desks daily in their Mérida office. Encouraged by this success, Bepensa extended Parkalot’s implementation to two additional branches, supporting around 400 employees in total in Mexico and the Dominican Republic.
Promoting Workplace Innovation
Recognising Parkalot’s potential beyond desk booking, Bepensa broadened its application to drive workplace innovation. Bepensa leveraged Parkalot to introduce an “activities” booking system, allowing senior managers to participate in employees’ daily tasks. This innovative project helps managers understand company-wide operations by experiencing the daily responsibilities of employees firsthand. As of early 2025, Bepensa is preparing for the third edition of this project, showcasing its commitment to continuous improvement and workplace innovation.
